Event Planning Assistant, Food Access Micro Summits (Lihue & remote)

Mālama Kaua‘iʻs Food Access team is seeking support to plan and manage a series of Kaua‘i County Food Access Micro-Summits. These 9 community-based regional micro-summits meetings will bring together stakeholders from a variety of sectors in the food system, including Kaua‘i County residents, food system leaders, ranchers, farmers, agricultural industry support organizations, food access agencies, educators and students, elected officials, and cultural practitioners.

The summits will build collaborative capacity, collect data for our food access needs assessment, showcase successful projects, and continue the momentum towards building a more equitable, inclusive, sustainable, and resilient food and agriculture system for Kaua‘i County. The project will be the first of its kind on Kaua‘i and support the development of future SNAP-Ed plans and the Kaua‘i County Food Access Plan.

Duties include:
– Provide event planning and management oversight, and ensure adherence to collaboratively established timelines
– Keep the event team on track with event goals, activities, and timeline
– Oversee all event vendors and purchasing processes
– Coordinate RSVPs and answer questions regarding events
– Draft and send various communications including attendee and speaker coordination, social media posts, eNewsletters, and event summary reports
– Manage day-of event logistics on-site, including set-up, caterers, timekeeping, documentation, registration, cleanup, volunteer coordination, etc.

Qualifications:
– Highly technically proficient in collaborating utilizing Google Drive/Docs/Forms/Sheets/Calendar technologies; WordPress and MailPoet or other eNewsletter software experience also helpful
– Fierce attention to detail, organization and multitasking ability
– Familiarity with nonprofit and community style events on Kaua‘i
– Excellent professional communication abilities, with comfort over-communicating with all event stakeholders

Pay: $20 to 30 per hr for ~309 hrs event planning and management (approx. 15/hrs/week for 5 months); pay depends on experience and desired employment type (employee vs. contractor)
